Privacy Policy and Data Protection

Vitawork respects your privacy and is committed to protecting your personal data. This privacy policy informs you about how we take care of your personal data when you access and use the Vitawork platform.

1. Important information and who we are

1.1 Purpose of this privacy policy

The purpose of this privacy policy is to provide you with information about how Vitawork collects and processes your personal data through the use of its Platform (websites, applications, and related online tools where this policy is referenced) and any information you may provide through the platform, for the purpose of processing and delivering the service contracted by the Client regarding the assessment of teams or work units for which workplace well-being or occupational health evaluation is required.

It is important that you read this privacy policy together with any other privacy policy or procedure policy that we may provide on specific occasions when we collect or process your personal data, so that you are fully aware of how and why we are using your data.

1.2 Changes to our privacy policy and your obligation to inform us of changes to your personal data

We keep our privacy policy under regular review.

It is important that the personal data we hold about you is accurate and up to date. It is essential that the Client and Users keep us informed if the data shared regarding their team changes during their relationship with us, whether due to changes within the organization, resignations or dismissals of employees, or any other relevant event, for the purpose of fulfilling the contracted service.

1.3 Access to and use of third-party websites or services accessible through the Vitawork Platform

It is important to clarify that Vitawork has been engaged by the Client to provide the service of measuring the organizational health and well-being status of its respective organization and/or high-performance work teams through the platform specifically designed for this purpose. The above is intended to measure the well-being and performance of teams and/or the organization.

For these purposes, the following terms shall be understood as follows:

VITAWORK: digital platform to which the Client and Users will have independent access in Brazil, Colombia, Mexico, etc., through which the organizational health and well-being of teams is measured, as well as leadership.

Clients: company or organization that, through human resources, people management, or directly, engages Vitawork to measure the occupational health of its organization and/or work teams through the use and methodology of the Vitawork platform.

Users: those persons who make up the team, business unit, organization, or leaders whose workplace health status the Client wishes to measure in order to determine areas for improvement and, eventually, implement action plans suggested by the AI agent called “ViTA,” which may positively impact internal well-being and occupational health, whether of the organization, team, or business unit that has been requested to be evaluated, and thus improve employee performance and productivity and, consequently, foster a much more sustainable organization.

2. Use of information

2.1 Information required for registration

For the purposes of the service, Vitawork collects and processes different information from Users. This information may, in many cases, constitute personal data of the Users, as defined in this Privacy Policy and in data protection regulations.

The personal data that may be processed by Vitawork are as follows:

Identification and contact data: first and last name, email address (professional or corporate).

For the purposes of the service, the Client will be required to share information relating to its employees regarding their work areas, teams, positions within the organization, and responsibilities.

The personal data provided will be kept for as long as strictly necessary, unless their deletion is requested, or until they no longer fit the purpose for which they were collected.

2.2 Vitawork Information and Methodology – Survey

For the purpose of fulfilling the service contracted by the Client, Users must answer a questionnaire or survey on the Vitawork platform, whose responses will be collected, analyzed, and processed in order to store them together with their evaluation in the Vitawork database. Such responses will be considered for the purpose of fulfilling the required service. Under no circumstances will we reveal to any person — including the Client — the identity of the Users in relation to the responses they provided in such survey, which shall remain confidential.

We will never share your data with any third party, whether online or offline, without your express permission.

Notwithstanding the above, we will use your responses and scores in reports or documents required by the Client insofar as they relate to the purpose of the services provided by Vitawork, but in no case will such information be associated with your identity. This is solely for the purpose of obtaining the necessary results and reports and thus suggesting action plans to be carried out in order to improve the internal health of the organizations, teams, or business units for which measurement has been requested.

In addition, it should be noted that, although your responses will not be disclosed or associated with your personal identity to the Client or third parties, Vitawork may, based on the personal results obtained, suggest a personalized action plan to improve your workplace well-being status, which shall be voluntary.

3. Security

Vitawork has adopted the legally required security levels for the protection of personal data. We implement appropriate security measures to prevent your personal data from being accidentally lost, used, accessed without authorization, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties. They will only process your personal data according to our instructions and are subject to a duty of confidentiality. However, the user must be aware that security measures on the Internet are not impregnable.

The protection of personal data is governed by Law No. 19,628.

4. Modification, rectification and/or cancellation

In the event of modification, rectification, and/or cancellation of personal data, you must send an email to contact@vitawork.ai and request the corresponding modification, rectification, and/or cancellation of data. For this procedure, the Client must send a scanned copy of their identity card to the email address indicated above.
